Jobstaq has user-friendly customer database providing you with access to all your customer details while on the move or from your home or office. JobStaq makes is easy to add and update your customer details, allowing you to capture names, phone numbers, company details, email addresses and marketing preferences.
You can also record where the customer lead has come from, and the cost of the lead so that you can evaluate the effectiveness of your marketing activities and lead generation sites (i.e. is Checkatrade more effective than MyBuilder or Google).
All properties can be added using a simple postcode lookup feature meaning all your details are captured quickly and accurately. You can link each customer to one or more properties and define whether the customer is the owner/occupier, agent or landlord.
Against each property, you can record details relating to the assets in the property such as the boiler, gas fire or hob details. This makes it fast and efficient when returning to carry our service or landlord safety records as all the information can automatically populate the digital forms.
Once you have a customer and property set-up on JobStaq you can schedule a customer job or survey. Select the customer or property from your contacts, select create a ‘new job’ then enter some basic information including job type, brief job description and a quoted price (if quoting over the phone).
Once the job is created you can schedule it onto the calendar of the relevant engineer who will complete the work. An email and/or text notification can be automatically sent to the customer confirming the date and time of arrival and any other information you feel relevant.
Quotes & invoices
JobStaq supports both quick quotes (over the phone) and the creation of a more formal digital quote on your customized quote template. After the job has been completed it is easy to create a new invoice from scratch or simply convert an existing quote into an invoice. On JobStaq it is easy to add, delete or modify line items on both the quote and invoice. Your quotes and invoices can be attached to a preformatted message template and sent to your customers by email or by our print and post service.
JobStaq makes it easy to record the details of a particular Job. This will include arrival and departure times of your engineers, email communications, quotes, invoices, industry certificates and photos taken during the job can all be stored for easy retrieval. This may help resolve future disputes with a customer or help to understand a billing history with a customer so that you can sensibly increase your prices with long term customers.
Payment details can be included on the bottom of all invoice templates making it simple for customers to make payments directly to your account. Alternatively, JobStaq integrates with Stripe, allowing your customer to pay invoices by BACS or Credit Card online.
If a customer fails to make a payment by the required due date, JobStaq can send a pre-formatted message to the customer to chase the outstanding payment. This means you have to spend less time chasing your customer payments and more time working on jobs.
JobStaq supports a range of professionally-looking Gas Safe and OFTEC certificates all displaying your logo and branded with your company colour scheme. The certificates can be quickly completed from the app with names, addresses and gas appliance details automatically populated once this information has been recorded on JobStaq. This makes it much quicker to complete paperwork on return visits and the professional-looking documents will give your business an edge over your competitors.
JobStaq mapping supports vehicle tracking which allows you to view the real-time location of all of your engineers, understand the distance they have travelled between jobs or on certain days such as weekends, and enable customers to understand where their engineer is and approximate arrival time. Tracking data can also indicate whether an engineer is driving erratically or too fast. Vehicle tracking may help reduce your vehicle insurance costs.
JobStaq can automatically integrate with Kane analysers that have the Bluetooth module built-in. This will allow you to save digital copies of analyser print outs directly against a customer job. No more need for a bulky printer and no more need to retain paper copies of your print outs. A module to integrate other analysers will be introduced soon.
JobStaq has a database dedicated to the storage of files associated with your company. It can store a wide variety of files relating to your vehicles (e.g. service records or MOT details), your engineers (e.g. ACS documents, identity records) or company documents (e.g. warranty details, insurance details). All of these documents can easily be retrieved and a reminder can be set that will flag when any of these documents need renewing.
The JobStaq customer database integrates directly with Mailchimp, an email marketing service. This allows you to easily send regular email communications and promotions to your customers. You could send them hints and tips on looking after their boiler, remind them of the need to get their boiler serviced or perhaps share with them a time-limited promotion to attract new business during your quiet periods. JobStaq is fully GDPR compliant and all your customers will have an option to easily unsubscribe from your email marketing campaigns.
JobStaq can easily integrate with accounting software such as Xero or QuickBooks. Invoices created in JobStaq will automatically appear in the accounting software and any bank payments reconciled through the accounting software will update the status of invoices in JobStaq. This means that you or your accountant will have much better control over your finances and ensure that no missing customer payments are ever overlooked.
